Choosing Commercial Pest Control Software: What to Check Before You Switch
If your commercial accounts are running on spreadsheets and paper, or on generic field-service software that treats a restaurant like a house, you have probably felt the strain. Records are hard to find, multi-location clients get a stack of invoices, and access codes live in a group text. Switching software is a real project, so it is worth knowing exactly what to check before you do.
Start From Your Own Accounts
Winning a first commercial account was the subject of Landing Your First Commercial Pest Control Account as a Residential Company. Whether you have one commercial account or fifty, the right software is the one that handles the accounts you actually have, and the ones you want next.
Before you look at anything, list your commercial accounts by type: restaurants, apartments, offices, retail, churches, schools, warehouses, anything audited. Note which have several locations, which want one bill, and which ask for records. That list is your test.
Then list the questions your commercial clients actually asked you this year. “Can you send last quarter's records?” “Can all three stores be on one bill?” “Who has our alarm code?” Any software you choose should make each of those a quick answer.
Accounts and Billing
Check how the software handles the shape of commercial clients:
- One client, many locations. Can a restaurant group be one client with each store as its own address, its own plan and its own notes?
- One statement per month. Can a multi-location client get one statement covering every location?
- Line items and sales tax. Do invoices show each service clearly, with tax where it applies?
- Card on file and online payment. Can you charge on completion or on a schedule, and can managers pay online?
- Prepayments. Can a client prepay for a program?
- Past-due follow-up. Does it chase late payments on its own?
PestBossPro does all of these. The details are in Monthly Statements for Commercial Pest Control: One Bill That Covers Every Location.
Records and Proof
This is where commercial accounts are won and lost, so test it carefully:
- Application records. Does every completed treatment keep the products, active ingredients, EPA reg. no., amounts, area, target pest, site, equipment, tech license and weather?
- Missing records. Is there a way to see completed treatments still missing their record?
- Reports by date range. Can you pull a client's records for the year in a few minutes?
- Photos. Can techs take before-and-after photos that stay with the job?
- Notes history. Can the tech see last month's notes on the phone?
Be wary of any software that claims to make you “compliant.” Rules come from your state's lead pesticide agency and the label. Good software helps you keep the records many states require. It cannot promise more than that.
The Tech's Side
Your techs will use the software more than anyone. Check:
- Does it run on the phones they already have, iPhone and Android, without special devices?
- Do access notes, service notes and past notes show on each stop?
- Can they Start, Skip with a reason, and Complete in a few taps?
- Do product mixes work out what was applied, so techs are not doing math in the truck?
- Do on-the-way and arrived alerts go to the manager automatically?
PestBossPro's tech app runs in the browser, installs to the home screen, and uses a company login plus a personal PIN. No app store needed.
Winning and Keeping Accounts
- Quotes. Can you build estimates from your own service list, priced off property measurements, and have managers approve online?
- Follow-up. Do estimate follow-up emails go out on their own?
- Texting. Is there two-way texting with managers, saved with the client?
- Service requests. Can managers request service between visits from a customer app?
- Tags and custom fields. Can you sort accounts by type and store PO numbers, store numbers and station counts?
- Routing. Do commercial and residential stops share one schedule, with route order you control?
Honest Limits and the Trial
Ask every vendor what their software does not do. For PestBossPro, the honest answer is that large food plants and audit-driven contracts, which often need barcode device tracking, per-device trend charts and audit binders, are outside its typical use. For restaurants, apartments, offices, retail, churches, schools and warehouses run by a company with one to a handful of trucks, it fits well.
Then test it. PestBossPro has a 14-day free trial with no credit card. Bring in a few real commercial accounts by CSV import, set one up with several locations, run a few visits through the tech app, and pull a chemical report. Plans are $59, $89 and $199 per month for Start, Pro and Crew. To see everything PestBossPro does for commercial work, visit the PestBossPro commercial pest control software page.
