Monthly Pest Control Plans: Running 30-Day Service Without Losing Track

Monthly service is where recurring pest control gets busy. A monthly customer is on the route twelve times a year, which means twelve chances to be late, twelve invoices and twelve times the customer notices if you did not show up. Get the system right and monthly accounts are some of the steadiest money in the business. Get it wrong and they are the first to complain.

The 30-Day Minimum

If you have read Bi-Monthly Pest Control Plans: When 60 Days Between Visits Makes Sense, the setup will look familiar. A monthly service in PestBossPro has a minimum of 30 days between visits. When the technician completes a visit, the account drops off the Waiting List, and 30 days later it comes back as due.

Measuring from the completed visit keeps monthly stops evenly spaced. A visit done on the 3rd and the next on the 5th of the following month still has a full gap between them. A late visit pushes the next one back instead of squeezing two services together.

Who Needs Monthly Service

Monthly plans are less common for houses and very common elsewhere. Typical monthly accounts include:

Mosquito and rodent programs each have their own article in this series, starting with Running a Mosquito Season Program: Monthly Visits and Package Plans.

Keeping Monthly Stops From Slipping

With a 30-day gap there is not much slack. A monthly account that sits for two weeks has already lost half a cycle. That is where the Waiting List's colors earn their keep. Pins go from not due yet, to due now, to overdue once an account is more than 7 days past due. On a monthly account, an overdue pin is a real problem, and it should go on the next available route.

A simple habit helps: when you open the Waiting List to build routes, look at the overdue pins first, then the monthly accounts that are due, then the quarterly ones. Monthly customers notice a missed visit quickly. Quarterly customers have more room.

Routing Monthly Accounts

Monthly commercial stops often have tighter windows than homes. A restaurant may want service before opening or after closing. An office may only allow access during business hours. Put those details in the address notes so they show on the technician's phone every month, and build the route around them.

On the dispatch board you can set the route order by hand when a stop has to come first, or auto-route Closest First or Furthest First from the shop and then move the timed stops where they need to be. Saved views let you keep a commercial route separate from the residential ones.

Billing a Monthly Stop

Twelve invoices a year per customer is a lot of paper if anyone has to send them by hand. With a card on file, the invoice is created and the card can be charged when the technician taps Complete. For commercial accounts that prefer one bill, monthly account billing sends one statement each month covering every location, which is useful for a restaurant group or a property manager with several buildings.

Failed charges get past-due follow-up, and the customer can update their card in the customer app. Nobody in the office has to make the awkward call unless the follow-up does not work.

Stepping Down From Monthly

Monthly residential service is often a phase, not a forever plan. Once a heavy infestation is under control, offer to move the customer to bi-monthly or quarterly. It sounds like you are giving up revenue, but a customer who feels overcharged for a quiet house will cancel. A customer who is stepped down at the right time stays on a plan for years. In the software, it is just a change to the service on the address, and the new days between visits take over from the next completed visit.

Monthly Service Done Right

Monthly accounts reward consistency. The same day of the cycle, the same technician where possible, notes that carry from visit to visit and a bill that shows up without anyone asking. For the rest of the recurring setup, from quarterly to yearly termite inspections, see the recurring pest control software overview.
