The Pest Control Dispatch Board: Seeing Every Truck's Day at a Glance

Every pest control office has some version of a dispatch board. For some it is a whiteboard with truck numbers down the side. For others it is a spreadsheet with a tab per day, or a notebook the owner carries in the truck. The job is always the same: show who is going where, on which day, in what order.

Where the Board Fits

The big picture of scheduling, from recurring plans to the Waiting List map, is covered in Pest Control Scheduling Software: The Complete Guide to Routes, Dispatch and the Waiting List. This article zooms in on one piece of it: the board where scheduled jobs live once they have been assigned.

In PestBossPro, the dispatch board is the Scheduled List. Jobs arrive there from the Waiting List when you circle an area and schedule it, from one-time jobs you book directly, and from quotes that a customer approves online. Once a job is on the board, it has a day and a truck, and it shows up on that tech's phone.

Reading the Board by Day

The board is organized by day, which is how pest control owners think about the week anyway. Monday is the north side. Tuesday is the restaurants. Wednesday is whatever the rain pushed off Tuesday. Looking at the week by day lets you answer the questions that matter before they become problems:

A board you can scan in a minute is a board you will actually check. A spreadsheet with twelve tabs is not.

One Truck at a Time

When you have more than one truck, the whole-company view is useful for balance but crowded for detail. Filtering by truck shows one route at a time, the same list that tech will see on their phone. That is the view to use when you are setting route order, checking that a mosquito truck didn't pick up a quarterly interior service by mistake, or printing a route sheet. The truck filter is covered in more detail in Filtering the Dispatch Board by Truck: One Pest Control Route at a Time.

Putting the Day in Order

A list of stops is not a route until it has an order. On the board you can auto-route a truck's day Closest First or Furthest First from the shop, then set the route order by hand where the tech knows better. The order you save is the order on the tech's phone, so the office and the truck are looking at the same day.

The two auto-route options suit different days. Closest First gets early stops done fast and keeps the truck near the shop in the morning. Furthest First drives out first and works back, so the tech finishes close to home. Neither is right every day, which is why the choice is yours. More on that in Closest First or Furthest First: Auto-Routing a Pest Control Day From the Shop.

What Changes During the Day

The board is not frozen at 7am. As the day runs, techs tap Start, Skip and Complete on their phones. Completed jobs are done and their recurring clock restarts. Skipped jobs come back to the office with the tech's note: “Rain started at 1pm,” “Gate locked, no answer,” “Customer asked to come back next week.”

Those skips are the first thing to deal with when planning tomorrow. Move them to another day on the board, text the customer if needed, and they are back in the plan. Meanwhile, tech GPS on the office map shows where each truck is, so a same-day wasp call can go to whoever is closest instead of whoever answers the phone.

Habits That Keep the Board Useful

A dispatch board is only as good as the habits around it. A few that help pest control offices:

From the Board to the Rest of the System

The board connects to everything else. Jobs come in from the Waiting List, from approved quotes and from sign-ups. Jobs go out to the tech app in route order. Completed jobs create invoices, can charge a card on file, and produce the chemical application records for any tracked products used. Customers get their night-before, on-the-way and arrived texts based on where their stop sits on the board.

That is why one board beats a whiteboard plus a spreadsheet plus a group text. Change the order in one place and the tech's phone, the customer's alerts and the office all see the same day.
