Handling Pest Control Invoice Disputes With Photos and Service Records

“Nobody came to my house.” “I never asked for that.” “I still have ants, why am I paying?” Every pest control company hears these. Pest work is often done while the customer is at work, mostly outside, and with results that take time to show. That makes disputes more common than in trades where the customer watches the job.

Most Disputes Are Questions

Watching the numbers, as covered in Pest Control Billing Reports: The Numbers Worth Looking At Every Week, will show you which invoices are open. Some of them are open because the customer is unhappy with the charge, not because their card failed.

Most invoice disputes are not people trying to get out of paying. They are people who did not see the tech, do not understand a line, or are frustrated that the problem is not gone. Treat a dispute as a question first. Answer it with facts, calmly, and most of them end there.

“The Tech Never Came”

This is the most common one, and the easiest to answer if your records are good. In PestBossPro, a visit leaves a trail:

Share what is relevant, politely: “Our tech was there Tuesday from 10:12 to 10:41. Here are the photos from the back yard. You should have received an arrived text that morning too.” That usually settles it.

“I Didn't Order That”

This one is about extra work: a wasp nest, a drain treatment, extra bait stations. It is best prevented: extra work should be approved by the customer before it is done and appear on its own line. If it happened anyway, look at what the record shows. Was there an approved estimate? A text from the customer saying yes? A note on the job? Two-way texting keeps those conversations on the account, so you can find them.

If there is no record that the customer agreed, the fair thing is usually to take the charge off and fix the process so the next tech gets approval first. The line item approach is in Pest Control Invoice Line Items: Writing Charges Customers Understand.

“I Still Have Pests”

This is not really a billing dispute; it is a service problem showing up as a billing complaint. The visit happened and the work was done, but the customer is not seeing results. Arguing about the invoice misses the point.

Offer a re-service under your re-service policy, at no charge, and say so. Look at the account history: what was applied, where, and how often re-services have been needed. Sometimes the plan interval is too long, or a conducive condition like moisture or an open entry point needs fixing. Solving the pest problem usually solves the billing problem. Re-services are covered in Re-Service Visits at No Charge: How to Invoice a Pest Control Callback.

Card Disputes and Chargebacks

Occasionally a customer disputes a charge with their card company instead of calling you. When that happens, you will usually be asked to show the charge was for a real service the customer agreed to. The same records that answer a phone dispute answer a card dispute: the approved estimate or sign-up, the visit times, the arrived text, the photos and the invoice. Keep them with the account, and respond promptly with the facts.

The best defense against chargebacks is a customer who knew what they were paying for before the charge. Clear sign-up terms, clear line items and invoices they can see in the customer app all help.

A Simple, Fair Process

Handle every dispute the same way:

Records Settle Disputes

Disputes are part of pest control billing, and good records make most of them short. Texts, Start and Complete times, photos and application records together tell the story of every visit. For more on how PestBossPro handles billing, visit the pest control invoicing software page.
