Mistakes Pest Control Owners Make When Choosing Software

Most bad software decisions aren't made by careless people. They're made by busy owners who picked something in a hurry between calls, or who bought what a bigger company uses because it seemed safe. These are the mistakes that come up again and again with small pest companies, and how to avoid them.

Learn From the Trial

Many of these mistakes are caught by a well-run trial, as covered in Getting the Most From a Pest Control Software Free Trial. The rest are caught by knowing what to look for before you start.

Mistake 1: Buying Generic Field-Service Software

Generic field-service software is built for plumbers, cleaners and handymen. It can schedule a job, send an invoice and maybe track a technician. What it usually doesn't know is what a pest company sprays: products, active ingredients, EPA reg. numbers, rates, target pests, sites treated, tech license numbers and weather.

If the software has no real place for application records, you end up keeping the binder anyway. Now you have software and paper. Pick software that builds records from completed treatments, like PestBossPro's application records and the “need a chemical record” button.

Mistake 2: Treating Recurring Service as Appointments

Some systems handle quarterly service by booking four appointments a year, or by making you book the next one after each visit. That works until an appointment gets moved, deleted or forgotten, and the customer falls off the schedule quietly.

Recurring service should run from the plan. In PestBossPro, a quarterly account has 90 minimum days between visits and comes due on the Waiting List on its own. Details in Quarterly Pest Control Service on the Waiting List: How Recurring Accounts Come Due.

Mistake 3: Buying for the Company You Might Be in Ten Years

The big pest-control platforms are built for companies with dozens of trucks, call centers and regional managers. They can do a lot, and they cost and weigh accordingly. For a one- to five-truck company, most of that is screens nobody opens and training nobody has time for.

Buy for the next two or three years. Software that fits a five-truck company well will carry you a long way.

Mistake 4: Not Testing the Tech App With a Tech

The owner sits through the demo and likes the office screens. Then the techs get the phone app and hate it, because it asks for a form at every stop or needs a special device. They go back to paper, and the software is half-used.

Have a tech run real stops during the trial. PestBossPro's tech app runs in the browser on the iPhone or Android they already have, with no app store download, and the day runs on Start, Skip and Complete.

Mistake 5: Believing “Compliance” Promises

Watch out for any software that promises to make you compliant with your state's rules. No software can do that. Record rules vary by state, labels vary by product, and you are responsible for following both.

Good software helps you keep the application records many states require, completely and on time. That is a real benefit. But check your state lead agency's rules and the product label yourself, and be skeptical of anyone who says you don't need to.

Mistake 6: Ignoring the Customer Side

Some owners pick software on office features alone and forget that customers use it too. Automatic texts the night before and when the tech is on the way, a customer app with invoices and card updates, post-treatment emails — these are what customers notice, and they cut the calls that eat your day.

Mistake 7: Not Reading the Real Price

A low starting price can grow with per-user fees, per-truck fees, add-on modules and texting charges. Ask for the full monthly cost for your company. PestBossPro is $59, $89 or $199 a month, each with a monthly text allowance included.

Mistake 8: Moving Data in a Hurry

Importing a messy spreadsheet copies the mess. Duplicate customers, bad addresses and missing last service dates turn into a confusing Waiting List on day one. Spend an evening cleaning before the CSV import, and set plans and last service dates carefully.

Avoiding All of Them

The pattern is simple: pick pest-specific software sized for your company, test it with real accounts and a real tech, read the full price, and move your data carefully.
