User Roles in Pest Control Software: Who in the Office Sees What
When it's just you, everyone has full access because everyone is you. The first time you hire someone to answer the phone, or bring on a second tech, a question comes up: should they see the bank deposits? Change prices? Delete a customer? User roles are how you answer that once instead of worrying about it every day.
Two Kinds of Users
The reports in Pest Control Software Reports: The Numbers a Small Company Should Check Each Week are a good example of something not everyone needs. Revenue and past-due lists are owner information. A tech doesn't need them to run a route.
PestBossPro has two kinds of people in the system. Office users work in the office side from a computer, with roles that control what they can see and do. Employees are your techs, who sign in to the tech app with the company login and their own personal PIN and are assigned to trucks.
Office User Roles
Office roles let you give each office person access that fits their job. In a small pest company, the office usually splits into a few kinds of work:
- Owner — everything: settings, prices, billing, reports, users.
- Office manager or scheduler — clients, the Waiting List, routes, estimates, texting with customers.
- Billing — invoices, payments, statements and past-due follow-up.
- Phone help — looking up customers, taking service requests, sending estimates.
You don't need four people. In a two-truck company, one office person might do scheduling and billing, and the owner keeps settings and reports. The point is that the access matches the job.
Employees, PINs and Trucks
Techs don't need office access at all. They need their route. In PestBossPro, each employee gets a personal PIN and a truck assignment. They sign in to the tech app with the company login plus their PIN and see their stops in route order.
The PIN matters for records. Every application record includes the tech's name and license number. When the tech is signed in with their own PIN, the record knows who did the work. Shared logins make that impossible to trust. More on the tech side in The Pest Control Tech App: What Your Technicians See on Their Phones.
When Someone Leaves
People leave. Techs move on, office help goes back to school. With roles and PINs, you turn off one person's access without changing anything for anyone else. Their past work, records and messages stay in the system under their name.
Compare that to a shared password on a sticky note, or gate codes in a group text. When someone leaves, every one of those has to change. With individual access, one switch handles it.
Questions to Decide Up Front
Before you add your first office user, decide a few things:
- Who can change prices on the service list? Usually just the owner.
- Who handles payments and billing questions? Keep this to one or two people.
- Who can edit products and mixes? Products feed the application records, so this should be the owner or a licensed lead tech.
- Who sees revenue reports? Often the owner only.
- Who can text customers? Anyone answering customer questions should, so replies don't sit.
Roles and Your Chemical Records
Roles matter more in a pest company than in most trades because of the records. Application records carry the tech's name and license number, and they are built from the products and mixes in the system. If anyone can edit a product's active ingredient or rates, the records that follow can be wrong without anyone noticing. Keep product and mix editing with the owner or a licensed lead tech, and make sure everyone else knows who to ask when a product changes. That small decision protects the accuracy of every record your company keeps, and it gives the office a clear owner for the product list.
Start Simple, Adjust Later
You don't have to get roles perfect on day one. Start with the owner holding everything, add office users with the access they clearly need, and widen it when something comes up. It's easier to give access than to take it away. Review who has what once or twice a year, and whenever someone changes jobs inside the company, so access keeps matching the work each person actually does.
Good roles make it safe to grow. You can hire help without handing over the keys to everything. For how users and techs fit into the rest of the system, visit the PestBossPro pest control software page.
