Switching Pest Control Software Without Losing Accounts or Records
Switching software is one of those jobs owners put off for years. The current system costs too much, or it's clunky, or it was built for companies ten times your size, but at least you know where everything is. The fear is losing something in the move: a quarterly account that falls off the schedule, a customer's card, a season of chemical records. A careful switch avoids all three.
Start With What You Saw in the Demo
If you've already run the checklist in What to Look for in a Pest Control Software Demo, you know what the new system needs to do. This guide is about the move itself.
The order matters: export, clean, import, set due dates, collect what can't be moved, run a short overlap, then cut over. Do it in the slowest part of your season if you can. Moving software in the middle of peak mosquito season is possible, but it's not fun.
1. Export Everything You Can
Before you cancel anything, export from your current system. At minimum, get a CSV of customers with service addresses, billing addresses, phones, emails and notes. Also export or save:
- Each recurring account's service plan and last service date
- Open invoices and balances
- Your service list and prices
- Your products and mixes, with active ingredients and EPA reg. numbers
- Chemical application records, in whatever format the old system allows
Keep these exports somewhere safe. Even after you switch, the old records may need to be kept for as long as your state requires.
2. Clean and Import
Open the customer export in a spreadsheet and clean it: remove duplicates and cancelled accounts, fix addresses, put one value per cell. Then bring it into PestBossPro with a CSV import. Imported addresses are placed on the map automatically, so your accounts appear as pins right away. The cleaning steps are covered in Moving Your Customer List Into Pest Control Software With a CSV Import.
3. Set Plans and Last Service Dates
This is the step that protects your recurring revenue. Each account needs its recurring plan (90 days for quarterly, 60 for bi-monthly, 30 for monthly) and its last service date. The last service date is what starts the clock. Get it right and accounts come due on the Waiting List exactly when they should. Get it wrong and a whole neighborhood shows as overdue on day one, or nothing shows as due for months.
After setting dates, look at the Waiting List map. Does the spread of due and not-due pins look like your real schedule? If not, check the dates before you route anything.
4. Collect What Can't Be Moved
Some things don't transfer from one system to another. Saved customer cards are the big one; payment details usually can't be exported for security reasons. Plan to collect cards again. The customer app makes this easier: customers can update their card on file themselves. Ask for it in a text or email, and have techs mention it at the next visit.
Products and mixes also need to be set up in PestBossPro, from your export or straight from the labels. Turn on Track Chemicals for products that need application records.
5. Run a Short Overlap
Don't cancel the old system the day you import. Run both for a week or two. Build routes in PestBossPro, have techs work from the new tech app, and compare against the old schedule to catch anything that fell through. Pay attention to the “need a chemical record” button to make sure records are being completed in the new system from day one.
6. Cut Over and Keep Old Records
Once a week or two goes by without surprises, cut over. Invoices go out from PestBossPro, cards on file are charged there, and customer texts and post-treatment emails come from the new system.
Keep the old system's exports and records stored for as long as your state lead agency requires application records to be kept. New records start in PestBossPro and can be pulled for any date range with chemical reports.
Tell Your Customers
A short note to customers goes a long way: you're moving to a new system, they'll get texts the night before and when the tech is on the way, and they can see invoices, pay and update their card in the customer app. Customers usually welcome it.
Switching is a few weeks of focused work for years of a better fit. PestBossPro plans are $59, $89 or $199 a month with a 14-day free trial and no credit card. For the full picture, see the PestBossPro pest control software page.
