Annual Pest Control Plan Prepayments: Paid Once, Serviced All Year

Some customers would rather pay once a year than see a charge every quarter. Retirees on a fixed budget, landlords who budget per property, and people who just hate small charges all like the idea of paying for the year and being done with it. An annual prepaid plan gives them that, and gives you a year of revenue in one deposit.

Same Idea, a Longer Stretch

Prepaying a single season was covered in Mosquito Season Prepayments: Billing a Pest Control Program Up Front. An annual plan uses the same mechanics stretched over twelve months: the customer pays up front, the prepayment is recorded on the account, and each visit draws it down as it is invoiced.

The difference is the time span. A mosquito season lasts a few months. An annual plan lasts a year, which means more chances for something to change: a move, a sale of the house, a death in the family, a switch to monthly service. Your terms need to cover those cases.

Pricing an Annual Plan

The simple way to price an annual plan is to start from the per-visit total and decide whether to offer a discount for paying in full. If a quarterly plan is $125 a visit, four visits is $500 for the year. Some companies offer the year at a lower price as a thank-you for paying up front; others keep the price the same and treat the convenience as the benefit. Either way, write it as one number on the estimate: “Annual plan, four quarterly visits, paid in full.”

Do not fold the initial service into the annual price without saying so. If the first year includes an initial service, show it on its own line so the second-year renewal does not look like a price drop the customer will expect again.

Recording and Applying the Prepayment

In PestBossPro, the payment is recorded as a prepayment on the account. From there, everything works as it does for a regular plan:

Because each visit still creates an invoice showing the service and the prepayment applied, the customer has a record of every visit they paid for, visible in the customer app. Package plans for multi-visit programs can be used to set up the year so the visits and the prepayment line up.

Re-Services and Add-Ons on a Prepaid Account

Prepaid plans still get your free re-service promise. Re-service visits go on the account with no charge and do not touch the prepayment. That keeps the prepaid balance honest: it only counts the scheduled visits the customer paid for.

Add-ons are a different matter. If the customer asks for a wasp nest removal or a one-time rodent visit, that is a separate charge on its own line, billed to the card on file or paid online. Do not take add-ons out of the annual prepayment unless the customer asks you to, or the year will run out before the fourth quarter does. Keeping no-charge visits on the record is covered in Re-Service Visits at No Charge: How to Invoice a Pest Control Callback.

Renewals

The weak spot in annual plans is the renewal. A customer charged automatically every quarter keeps paying without a second thought. A customer who paid once a year has to decide to pay again, and a renewal notice that arrives as a surprise invites a fresh look at whether they want the service at all.

Make renewal easy and expected:

Your month-end billing review is a good place to catch annual accounts coming up for renewal next month.

When a Customer Moves Mid-Year

People sell houses. Decide in advance whether unused prepaid visits are refunded, credited, or transferred to the new owner if they want to keep the service. Some companies offer to transfer the plan to the buyer, which can turn a cancellation into a new customer. Write your policy into the service agreement and apply it consistently. The billing side of cancellations is in The Final Pest Control Invoice When a Customer Cancels.

Paid Once, Tracked All Year

An annual prepaid plan is good for the customer who wants simplicity and good for your cash flow, as long as the prepayment is tracked visit by visit and renewals are handled on purpose.
