Mosquito Season Prepayments: Billing a Pest Control Program Up Front
Mosquito work is seasonal by nature. In most places the season starts in spring, peaks in summer and ends with the first cold stretch of fall. Selling it as a prepaid season, rather than one treatment at a time, gives the customer one decision to make and gives you the money before the busiest stretch of the year.
Why Prepay a Season
Every program starts with a first visit, and the billing for that first visit is covered in Billing the Initial Pest Control Service: The First Invoice on a New Account. With a prepaid mosquito season, that first treatment and every one after it come out of a single payment made up front.
The case for prepaying is mostly about cash flow and commitment. Spring is when you buy product, hire seasonal help and get trucks ready. Money collected in spring for work done all summer pays for that ramp-up. And a customer who has paid for the season is a customer who stays for the season, rather than one who stops after two treatments because the yard seems fine.
Customers like it too, especially with a small discount for paying in full. They decide once, pay once, and stop thinking about it.
Pricing the Season
Mosquito treatments are priced by the area treated. In PestBossPro, each property can carry a mosquito square footage measured from the satellite map, so a season for a quarter-acre lot and a season for a wooded acre are priced differently from the same service list. A simple setup might be $79 per treatment for a typical yard, with a season price for a set number of treatments, but your price and the number of treatments depend on your climate and program.
Your tank mix matters for the field side too. A mosquito barrier mix built from your products with rates per gallon lets the tech app work out what to load for the day and record what was applied.
Setting Up the Prepaid Program
PestBossPro supports package plans for multi-visit programs like a mosquito season, along with prepayments recorded on the account. The flow looks like this:
- The customer approves the season on an estimate or signs up in the customer app.
- They pay up front, by card on file or online in the customer app, and the prepayment is recorded on the account.
- Each treatment is invoiced as the tech taps Complete, and the prepayment is applied to it, so the card is not charged again.
- The remaining balance on the prepayment goes down with every treatment, so you and the customer can see what is left.
Each invoice still shows the treatment and the prepayment applied to it. That matters: a customer who sees “Mosquito Barrier Treatment — paid from season prepayment” knows the tech came. A customer who sees nothing at all wonders.
Keeping the Customer Informed All Season
Because the customer is not seeing a charge each visit, the other communication carries more weight. The night-before reminder, the on-the-way and arrived texts, and the post-treatment instruction email, which tells them to keep kids and pets off treated areas until dry, all tell the customer the season is being delivered. The customer app shows their invoices and upcoming visits.
Rain and wind will push treatments around. When a tech skips for weather, nothing is invoiced and nothing is taken from the prepayment, and the account stays due until the treatment is done.
Season End and Unused Treatments
Decide before you sell the season what happens if a customer ends up with prepaid treatments left over, whether because of weather, a move, or a cancellation. Common policies include rolling unused treatments into the next season, issuing a credit, or refunding the unused portion. There is no single right answer, but there is a wrong one: not having a policy and deciding case by case after the customer is already upset.
Write your policy on the sign-up page and in the season agreement. At season end, look over every mosquito account with prepayment remaining and settle it the way you said you would. Annual plans work much the same way, as covered in Annual Pest Control Plan Prepayments: Paid Once, Serviced All Year.
Early-Bird Selling
Late winter is the best time to sell next season. Send a text or email to last year's mosquito customers with the season price and a pay-in-full option, and to quarterly customers who have a yard but no mosquito program. Customers who sign up and prepay in February are already on the books before the first warm weekend brings in the calls. The cash flow side of this is covered in Pest Control Cash Flow Across the Seasons: Billing for the Slow Months.
One Payment, a Whole Season
A prepaid mosquito season turns a string of small sales into one, collects the money before you need it, and keeps customers on the program from first treatment to last. Track the prepayment on the account, apply it treatment by treatment and settle the leftovers by a written policy.
